The live app will handle business data, invoice contact data and uploaded invoice files. This draft defines the MVP product requirement, not final legal wording.

Data collected

  • Customer account details
  • Business details
  • Invoice customer/contact details
  • Invoice details
  • Uploaded invoice/supporting files
  • Reminder messages, call notes and customer responses
  • Customer-approved payment instruction wording
  • Payment promises, plans and customer confirmations
  • Payment and subscription status metadata
  • Delivery attempts, provider webhook events and suppression records
  • Tenant export, closure, retention and privacy request records

Purpose

Data is used to operate managed invoice follow-up, communicate with authorised invoice contacts, maintain case records, generate Escalation Packs and administer customer billing.

MVP handling principles

  • Restrict customer access to their own business and cases.
  • Restrict admin functions to authorised Receevd admin users.
  • Store uploaded files securely, not as public URLs.
  • Keep audit logs for reminders, call notes, status changes and Escalation Pack generation, upload access and pack downloads.
  • Do not collect, receive or hold invoice contact/customer funds through Receevd.
  • Allow case closure and data deletion workflows to be designed and founder-reviewed during the pilot.
  • Use only strictly necessary authentication and security storage unless optional analytics are introduced with consent.
